Privacy notice
How Digital Trackbase collects, uses, retains and protects information from enquiries and relocation clients.
Data controller
Digital Trackbase is the controller for personal information described here. Questions and rights requests may be sent to info@digitaltrackbase.digital or to Level 8, 29 Mainzer Landstraße, Frankfurt am Main 60329.
Information we collect
We receive details you submit, such as name, email, moving window, service interest and message. During a confirmed engagement we may also process household requirements, indicative budget, workplace area and consultation notes. Please do not send passports, bank statements, health records or other sensitive material unless separately requested with a clear lawful reason.
Basic server logs may include IP address, browser type, requested page and time. Cookie choices are stored in your own browser. Optional analytics, if introduced and accepted, would be described in our cookie notice.
Purposes and legal bases
We use information to answer enquiries, prepare and perform a contract, issue invoices, maintain records, protect the website and meet legal duties. Depending on context, the basis is steps requested before a contract, contract performance, legal obligation, consent or our legitimate interest in secure and effective client communication.
Retention and recipients
Unsuccessful enquiry messages are normally deleted after 12 months. Client correspondence and work files are normally retained for three years after completion; invoices are kept for the period required by applicable tax law. We delete or anonymise information when no longer needed.
Access is limited to Digital Trackbase and contracted providers supporting email, hosting, video calls or accounting. Providers receive only what their task requires and must protect it. We do not sell personal information.
International transfers
Because clients, providers and operations may be located in Germany, Thailand or other countries, information can cross national borders. Where transfer rules require safeguards, we use adequacy decisions, approved contractual clauses or another lawful mechanism and assess supplementary protection where appropriate.
Your rights
Subject to the law that applies, you may request access, correction, deletion, restriction, portability or objection, and may withdraw consent without affecting earlier lawful use. You may complain to an appropriate data-protection authority. We may need proportionate information to verify a request.
Security and updates
We use access controls, limited collection and reputable service providers, but no internet transmission is risk-free. If a breach creates a legal notification duty, affected people and authorities will be informed. Updates to this notice will appear here with a revised date.
